01 — Getting Started
Welcome to HostLedger
For each month and each property, you log what you earn (bookings) and what you spend (expenses). HostLedger instantly tells you if you're profitable — in big, clear numbers.
Each rental gets its own card with its own color. You can track as many as your plan allows.

Go to Properties tab
Tap the Properties icon in the top navigation bar.

Tap Add
Enter a name like R1, R2, or "Beach House" and an optional address.

It appears on your Dashboard
Each property gets a unique color used consistently across all charts.
⚠️ Removing a property deletes all its data for every month. Only remove if you're sure.
03 — Bookings
Logging Your Income
You log bookings using a month calendar. Tap each day the property was occupied. The total is calculated automatically — including different prices for weekends.

Select the right month
Use the ‹ › arrows on the Dashboard to go to the month the guest actually stayed.

Set your prices
Enter your Standard price (Mon–Thu + Sun) and optionally a Weekend price for Fri & Sat. Friday and Saturday squares automatically turn pink when you add a weekend price.

Tap each booked day
Tap any day to mark it as booked. Days stay saved permanently — close and come back anytime to add more.

Long-press for a custom price
Hold any booked day for ~½ second — a price panel slides up. Set a special rate for that specific night. That day turns gold.

03B — Airbnb Sync
Sync Bookings from Airbnb
Instead of tapping days manually, you can connect your Airbnb calendar so booked days import automatically with one tap. Prices are never imported — only which days are occupied.

Go to Properties tab
Each property now has an Airbnb iCal Sync section below its name.

Get your iCal URL from Airbnb
In Airbnb → Your listings → select property → Calendar → Availability settings → Sync calendars → Export Calendar. Copy the URL that appears.

Paste and tap Sync ↓
Paste the URL into the iCal field and tap the green Sync ↓ button. All booked days appear on your calendar instantly.

Sync again anytime
New booking on Airbnb? Just tap Sync ↓ again. The URL is saved — you never have to paste it twice. Your custom prices are never overwritten.
⚠ One URL per property. R1 and R2 each have their own iCal URL in Airbnb. Make sure you copy the right one for each property in HostLedger.

Tracking Your Costs
Expenses are split into two types so you always know what's predictable vs what was a surprise.
Fixed Costs
Same every month: mortgage, HOA, internet, insurance, management fee.
💡 Why two types? Fixed costs show your unavoidable baseline — what you owe even with zero bookings. Day-to-day shows what you spent because of guests.
05 — Charts
Reading Your Analytics
The Analytics tab shows 3 charts. They become most useful after 2–3 months of data.
Portfolio Profit Line
Your total earnings across all properties for the last 12 months. Trending up = growing business.
Property Comparison
One bar per property for the current month. Instantly see which rental makes you the most money.
Income vs Expenses
Two lines over 12 months. The gap between them is your profit margin — wider is healthier.

Exporting Monthly Reports
Generate a professional PDF of any month — for your accountant, your business partner, or your own records.

Navigate to the month
Use ‹ › arrows to go to whichever month you want to export.

Tap "Export Monthly Report PDF"
The button is inside the big balance card at the top of the Dashboard.

Save or share the file
Downloads as "HostLedger-May-2026.pdf" — share directly from your phone.

Get the Most Out of HostLedger
Log bookings as they confirm
Don't wait until month end. Tap each day as soon as a guest confirms — your projected income stays current.
Add fixed costs on the 1st
On the 1st of each month, log mortgage, HOA, and regular costs. That's your baseline before earning a peso.
Export PDF at month end
Last day of every month, export and save. After a year you'll have 12 clean monthly reports for taxes.
Add to your home screen
Browser → Share → "Add to Home Screen". HostLedger opens like a native app — no App Store needed.

How to get your Airbnb iCal URL
This is a link that lets HostLedger read your booked dates from Airbnb. It takes 30 seconds to find. Prices are never shared — only which days are booked.

Open Airbnb on your phone or computer
Go to airbnb.com or open the Airbnb app and sign in to your host account.

Go to your listing's Calendar
Tap Menu → Your listings → select the property → tap Calendar.

Find "Availability settings"
On the calendar page look for Availability settings or the Settings gear icon — tap it.

Tap "Export Calendar"
Scroll down to Sync calendars section → tap Export Calendar. A long URL appears starting with https://www.airbnb.com/calendar/ical/…

Copy and paste it here
Copy that entire URL and paste it into the iCal field on your property in HostLedger. Then tap Sync ↓.
Each property has its own iCal URL. If you have R1 and R2, you need to get the URL from each listing separately in Airbnb and paste them into each property here.
Prices are NOT included in the iCal sync — only the booked days. Your prices in HostLedger are always used for calculations.
